Applicant Privacy Notice

This Applicant Privacy Notice explains how Kaizen & Coffee collects, uses, discloses, and retains personal information submitted by job applicants.

This notice supplements our general Privacy Policy. If there is a conflict concerning applicant information, this Applicant Privacy Notice controls.

Information we collect

When you apply for employment with Kaizen & Coffee, we may collect:

  • Your full name;
  • Email address and telephone number;
  • Résumé and employment history;
  • Education, training, skills, and qualifications;
  • The position and location for which you are applying;
  • Work availability and anticipated start date;
  • Responses to application and screening questions;
  • Information concerning your eligibility and ability to perform the role;
  • Information you provide during interviews or subsequent communications; and
  • Technical information associated with submitting the online form, such as the submission date, time, and limited device or browser information.

Please do not include Social Security numbers, financial-account information, medical records, or other sensitive information that we have not specifically requested.

How we use applicant information

We may use applicant information to:

  • Receive, review, and evaluate employment applications;
  • Assess qualifications, experience, availability, and suitability for a position;
  • Communicate with applicants;
  • Schedule and conduct interviews;
  • Verify information provided during the recruitment process;
  • Maintain recruiting and hiring records;
  • Consider applicants for current or future employment opportunities;
  • Protect the security and integrity of our systems and recruitment process;
  • Comply with applicable employment, recordkeeping, and legal requirements; and
  • Establish, exercise, or defend legal claims.

Providing applicant information is voluntary. However, we may be unable to evaluate an application if required information is not provided.

How applicant information is disclosed

Applicant information may be disclosed to:

  • Kaizen & Coffee personnel involved in recruiting, interviewing, hiring, operations, or management;
  • Authorized personnel at affiliated locations when relevant to the position;
  • Shopify and our website-hosting providers;
  • Fillout and other service providers used to collect, transmit, store, or manage applications;
  • Email, communications, document-storage, and information-technology providers;
  • Professional advisers, including attorneys, accountants, and human-resources consultants;
  • Government authorities or other parties when disclosure is required by law; and
  • Parties involved in a business transaction, such as a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate protections.

We do not sell applicant information or use résumé and application information for targeted advertising.

Automated decisions

Kaizen & Coffee does not use solely automated decision-making to make final hiring decisions.

Technology may be used to organize, transmit, or review applications, but employment decisions are made with human involvement.

Information retention

We generally retain your application information for up to 24 months after the conclusion of the application process. This allows us to maintain recruitment records and consider you for future opportunities.

We may retain information longer when required by law, reasonably necessary to resolve a dispute, or needed to establish, exercise, or defend legal claims.

If you are hired, relevant application information may become part of your employment record and will be retained in accordance with our employment recordkeeping practices and applicable law.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect applicant information.

Applicants should provide information only through the application methods we identify.

International processing

Our positions are based in the United States and require in-person attendance at the applicable store location. We currently accept applications only from individuals who reside in the United States and are able to work in person at the stated location.

Applicant information is primarily processed in the United States. Certain technology and service providers may process information in other jurisdictions, subject to applicable legal and contractual safeguards.

Your privacy rights

Depending on where you live, you may have the right to request:

  • Access to personal information we maintain about you;
  • Correction of inaccurate information;
  • Deletion of your information;
  • Restriction of or objection to certain processing;
  • A copy of certain information in a portable format; or
  • Withdrawal of consent where processing is based on consent.

These rights may be subject to legal exceptions. We may need to verify your identity before processing a request.

Requesting access, correction, or deletion will not result in unlawful discrimination.
